Job Title: Senior Administrator – HR Operations

Contract Type: Permanent

Location: Kimberley, Northern Cape, South Africa

In developing the academic and administrative capacity of our University, the positions of HR Admin is available and we are keen to receive applications from highly motivated and suitably qualified individuals.

Minimum Requirements:

  • National Senior Certificate
  • HR Certificate or equivalent will be an advantage
  • Two year’s relevant experience
  • Computer Literate

Duties and Responsibilities of HR Admin:

Recruitment and Selection
  • Assist with short listing and interview dates and times based on availability
  • Book venues for short listing and interviews
  • Communicate short listing and interview logistics to panel members
  • Prepare short listing matrix
  • Ensure correct advert, matrix and CV send to panel members before short listing and interviewing
  • Ensure required equipment is available and in working order
  • Confirm interview details timeously with candidates
  • Prepare reports
Data Capturing
  • New Appointments – create post in correct cost centre and Department code
  • Activate pension, group assurance and medical codes where necessary
  • Update all existing records e.g. marital status, medical aid, pension, qualification detail etc.
  • Resignations, retirements, deaths, promotions etc.
  • Extensions, end of contracts, new contracts
  • Process permanent, contract and hourly paid appointments on HRIS
  • Compiling advices for salaries
  • Capture all new part time contracts
  • Extent existing contracts
  • Update of address detail, marital status, defendants, passport numbers, work permit detail etc.
  • Updating all new obtained qualifications or promotions received from all environments
Staff Queries
  • Answer appointment queries
  • Liaison with Senior HR Officer in each environment
  • Liaison with salaries unit on queries
  • Checking of new staff files for completeness before scanning and filing
  • Liaison with the Medical Aid administrator for medical aid capturing
Benefit Administration
  • Update spreadsheet for pension and group assurance brokers with all staff that terminated or joined SPU every month
  • Process new medical aid applications and changes
  • Process medical boarding applications
General HR Administration (including Payroll)
  • Audit trails on incorrect inputs must be corrected timeously
  • Validation reports must be attended to every month before payroll is done
  • Process all payroll data according to SPU business process and within agreed timeframes
  • Process all leave applications according to SPU business process and agreed timeframes
Checking Staff Files
  • Receive files from Senior HR Officer for all new appointments
  • Check completeness of information and documents in file
  • Capture all necessary information on the system
  • Send documents to service providers
  • File documents
  • Recruitment and Selection data is filed
  • Files opened for all new appointments
  • Payroll, leave and benefit information on staff files
Monitoring, Evaluation, and Reporting
  • Assist and support the Senior HR Officer, in providing line managers and staff with user-friendly and relevant HR information
  • Run monthly reports and report on data integrity
