What will you do?

  • Welcome visitors by greeting them in a professional manner, in person or on the telephone; answering or referring inquiries to the correct department or person in a timeous fashion(within two rings).
  • Screening of calls, taking messages if management unavailable. Redirecting of call to appropriate person – when necessary.
  • Direct visitors by maintaining employee and department directories
  • Adhere to all security policies and procedures as far as external visitors are concerned i.e. by monitoring logbooks/sign in registers (where applicable); issuing visitor badges.
  • Announcing clients as necessary
  • Accepting delivery packages at reception and distribute accordingly
  • Keep reception area neat and tidy
  • Assist Operations team with document Indexing (Kofax) 30 documents per day as well as assisting with Policy Servicing tasks 20 per day.
  • Asissting Operations team with packing letters into envelopes after printing.
  • Coordinate Metrofiling (Labelling and arranging pickups)
  • Assisting with logging maintenance calls for the entire GB Office area (follow up and resolution)
  • Ensure that a relieve back up is at reception before leaving area during lunch breaks leaving area during lunch breaks
  • Updating all staff lists on a monthly basis
  • Report any Risks to Management
  • Assisting with preparing and serving coffee/tea for external client meetings

What will make you successful in this role?

Qualification & experience:

  • Matric/Grade12
  • A secretarial certificate or diploma will be a distinct advantage
  • Proficiency in Excel and Prophet
  • 5 years relevant experience in a secretarial or similar role within the financial services environment

Knowledge and skills:

  • Proficient Microsoft Office Skills (Word, Excel, Outlook and PowerPoint).
  • Ability to interact with executives, senior management and staff at all levels in and across the business.
