Job Purpose:

An exciting opportunity exists for a suitably experienced individual to apply for an Operations Admin Clerk in our Westmead operation. The successful individual will have a minimum of 2 years experience in the road freight industry and have advanced computer skills. This position will be reporting to the Senior Operations Admin Controller.

Qualifications & Experience:

  • Senior Certificate
  • 2 years experience in the road freight industry
  • 2 years finance / operational experience

Key Responsibilities:

– Planning and Organising

  • To efficiently and effectively fulfil the requirements necessary for the administration of BIL KZN Container Operations according to the companies policies and procedures.
  • Ensure that all data is timeously captured, accurate and systems are always up to date.
  • Prioritise work and manage time to ensure a steady output in order to meet both internal and external deadlines.
  • Control the documentation flow to ensure a smooth flow of documents between clients, suppliers, operations, support services and the admin department.
  • Trouble Shoot and resolve any queries that may exist with the ops admin function.
  • Assist with the preparation and analysis of various reports that accurately measure the performance of the KZN Container Operations.
  • Assist with the preparation for internal and external audits that are carried out.
  • Assist with general admin duties as requested by superior.

-Administration

  • Ensure that all client emails with new transport instructions are immediately acknowledged/addressed.
  • Determine Transporter allocation with respective Transport Controllers and respond to the client for the Navis Update.
  • Open up a vessel tracking schedule for all new vessels and complete necessary information from cartage instructions onto the vessel tracking schedule. Attach copies of all cartage instructions received to the specific vessel tracking schedule.
  • Capture all new cartage instructions onto TMS ensuring that the details are accurately captured into the correct departments.
  • Rate all shipments accurately to ensure correct charges are allocated to correct customer.
  • Print all waybills for BILT allocated shipments and attach to the cartage instructions in the vessel tracker.
  • Ensure that TMS is kept live by ensuring all cartage instructions are captured on the day of receipt.
  • File copies of all instructions per vessel and insource vs outsource. Reconcile instructions in file to vessel tracker prior to vessel completion to ensure no instructions are missed.
  • Receive all load confirmations for outsourced work from the relevant Transport Controller and issue order numbers for the shipments outsourced.
  • Ensure to make notes for the reasons for selection of the Transporter for audit purposes. Immediately escalate any issues /concerns picked up during this process.
  • Ensure all orders issued are signed off by the Business Unit Manager daily and captured onto the Sub Contractor order tracking schedule. Submit orders to the Finance Department on daily basis for invoice payment and accruals. Reconcile cost on TMS to Finance accrual schedule on weekly basis to ensure that the amounts balance per transaction. Resolve any queries in the recon process.
  • Receive all quotations for maintenance of vehicles and general purchases and issue orders once approved by the Business Unit Manager. Write out orders and get this signed off by the Business Unit Manager prior to submission to the Supplier/Service provider and Finance Department. Capture all orders onto the the orders tracking schedule.
  • Reconcile orders issued to that accrued by the Finance department on a weekly basis to ensure accuracy.
  • Capture timesheets for all casual labour on weekly basis, ensuring accuracy of hours worked and rates of pay. Issue orders once checked and signed of by the Business Unit Manager. Submit timesheets to the relevant labour broker as per the stipulated timeframes.
  • Assist operations with general functions when required.

-Reporting/General

  • Assist with collating information and data for reporting purposes.
  • Take minutes for meeting when required.
  • Adhere to BIL rules, policies and regulations.
  • Assist with the preparation for internal and external audits.
  • Ensure that workstations are neat and tidy.

Skills & Competencies:

  • Excellent computer skills (MS Office)
  • Data capturing
  • Knowledge of a TMS
